What you’re exposed to without a system

A smoke-shop owner doesn’t wake up wanting software. They wake up worrying about this.

DSHS pulls product
An inspector wants the batch, the lab cert, the supplier invoice, and the test date — in one shot. Without a system this is hours of email scrolling. With HempOS it’s one click.
Retailer asks for proof
A new retailer wants to verify your product before stocking it. Without a system you send a stack of PDFs over email. With HempOS you send a verified public proof link.
License renewal hits
DSHS renewal deadline arrives mid-quarter. Without a system you scramble for current COAs and SOPs. With HempOS the renewal packet is generated in minutes.
A COA quietly expires
A product on your shelf has an expired lab cert. Without a system you find out from a customer or an inspector. With HempOS you find out 30 days before it happens.
Insurance audit
Carrier wants to verify your compliance program before renewing your policy. Without a system you rebuild it from scratch. With HempOS the same audit packet ships in one click.
Staff mistake on the shelf
An employee mishandles a label or sells a product they shouldn’t. Without a system you find out at the violation hearing. With HempOS staff have a checklist and a record.
The cost of HempOS is predictable. The cost of a compliance failure isn’t.

Why a system instead of a folder

A Google Drive folder isn’t a compliance system. It’s a place where compliance failures hide.

Four things HempOS does that no folder, spreadsheet, or shared inbox does — and that quietly become non-optional once your business is real.

Ease
An audit packet in one click, not one afternoon.
A folder makes you reconstruct the proof every time. HempOS keeps the chain live, so the audit packet is one click whether DSHS asks in March or December.
Intelligence
It knows when something’s about to break.
A folder waits silently while a COA expires. HempOS tells you 30 days out, lists which products are about to lose proof, and shows you the next action.
Network
Your vendors push records in. Your retailers pull proof out.
A folder is a dead end — you re-type, re-email, re-attach. HempOS connects you to verified vendors and to the retailers who carry you, so records flow in and proof flows out automatically.
Avoiding fees
The cheapest version of compliance isn’t the free folder.
A single DSHS fine, embargo, or insurance renegotiation costs more than several years of HempOS. The “free” Drive folder gets expensive the day a regulator disagrees with your records.

The problem

Texas hemp compliance is expensive, messy, and easy to get wrong.

Most shops are dealing with expired COAs, broken QR codes, missing product proof, messy supplier files, and no inspection-ready audit packet.

Expired COAs can stop product sales. One lapsed result can pull a SKU off the shelf.
Broken QR codes can fail inspections.A dead label link is the first thing flagged.
Missing records turn a 5-minute inspection into a multi-day scramble. If you can't produce proof, you go digging.

Expired COAs

Lab results lapse and nobody catches it until an inspector does.

Broken QR codes

Label QR links point to dead pages or the wrong batch.

Missing product proof

No clean record tying a product to its batch, lab, and test data.

Messy supplier files

Invoices and COAs scattered across email, texts, and drives.

No audit packet

When an inspector shows up, there's nothing ready to hand over.

The solution

Know exactly where every product's proof lives.

COA, QR link, batch record, label checklist, supplier documentation, and audit packet — all tied to the product, and all tied together.

01

Add product

Capture brand, SKU, batch, lot date, and cannabinoid facts.

02

Attach COA

Upload or request the lab result and validate required fields.

03

Generate COA page + QR

A public verification page and QR link for every batch.

04

Run label checklist

Confirm warnings, manufacturer info, and packaging rules.

05

Export audit packet

One ZIP with COAs, labels, licenses, and supplier docs.

Why HempOS exists

Your proof shouldn't live in twelve different places.

Most hemp businesses store compliance records across email, Dropbox, Google Drive, text messages, vendor portals, and spreadsheets.

What happens during an inspection?

The inspector asks. HempOS already has the answer.

When someone shows up asking for proof, you don't go digging — you generate one packet and hand it over.

Inspector requests

Everything they typically ask to see.

  • Certificate of Analysis (COA)
  • Batch / production record
  • Label information
  • Supplier information
  • Product verification link

HempOS responds

Three steps. No scramble.

Frequently asked

Questions before you sign up.

Which tier is right for my business?

Retail for single smoke/vape/CBD shops. Multi-Location if you run 2+ stores. Brand if you own a hemp brand selling through retailers. Manufacturing if you operate a licensed processing or co-packing facility. See /pricing for full comparison.

How long does onboarding take?

Most Retail customers are inspection-ready within 1-2 weeks once records are uploaded. Brand and Manufacturing tiers take 2-4 weeks because we map product proof chains. Setup support is included in your setup fee — no separate professional services bill.

Do I need to switch labs or vendors?

No. HempOS works with whatever lab issued your COAs and whatever vendors supply your products. You upload existing records; we organize and verify them. The Vendor Network adds discoverability later — it never forces a vendor change.

What if a DSHS inspector shows up tomorrow?

Open HempOS, generate an audit packet, hand it over. Every product’s COA, batch lot, license, and compliance record is exported as one inspection-ready ZIP. Try the public COA lookup to see what the inspector view looks like.

Can I cancel?

Yes. Month-to-month after the setup fee. You can export all your records before you go — your data is yours.
